This Privacy Policy describes how Winning 1-on-1s™ (“we,” “us,” or “our”) collects, uses, shares, and protects information when you use our engagement solution and its 1-on-1s™ meeting functionality (collectively, the “Service”). The Service is operated by Gate 67 Consulting, LLC. By using the Service, you acknowledge this policy. If you use the Service on behalf of an organization, your organization may also have policies that apply to workplace data.

2. Information We Collect

We collect information in the following categories:

  • Account information — such as name, email address, authentication identifiers, and profile details you provide
  • Organization and role information — organization membership, department, job role, leader/team relationships, invitations, and permissions
  • 1-on-1 and engagement content — scheduling details, meeting notes, preparation content, templates, topics, satisfaction or pulse inputs where collected, action items, goals, plans, feedback, testimonials, recognition messages, transcripts or attachments you upload, and related metadata
  • Integration data — when you connect Google Calendar, Microsoft Outlook calendar, or Zoom, we receive information needed to check availability, create or update calendar events, and support virtual meeting links, as configured in your account
  • Usage and technical information — log data, device and browser type, IP address, timestamps, error reports, and security-related events generated when you use the Service
  • Communications — messages you send to support and administrative notices we send about the Service

3. How We Use Information

We use collected information to:

  • Provide, operate, and maintain the Service
  • Authenticate users and enforce organization access controls
  • Facilitate scheduling, conducting, and reviewing 1-on-1s and related workflows
  • Enable goals, action items, plans, recognition, reports, and other product features
  • Process integrations you authorize (calendars, Zoom, and similar connected services)
  • Provide customer support and respond to inquiries
  • Monitor performance, troubleshoot issues, and protect the security and integrity of the Service
  • Comply with legal obligations and enforce our terms
  • Improve the Service, including training and evaluating product features where applicable

Where AI-assisted features are enabled for your organization, we may process relevant content to generate suggestions or summaries. AI output should be reviewed by users before reliance in employment or business decisions.

4. How We Share Information

We do not sell your personal information. We may share information:

  • With other users in your organization when sharing is required for the Service (for example, between a leader and team member, or according to visibility settings)
  • With service providers that help us operate the Service, including Supabase (authentication, database, storage, and server-side functions) and Microsoft Azure (application hosting), under contractual obligations appropriate to their role
  • With third-party integration providers when you or your organization connects those services and authorizes data exchange
  • With professional advisers, auditors, or authorities when required by law, legal process, or to protect rights, safety, and security
  • In connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections

5. Third-Party Integrations

If you connect Google Calendar, Microsoft Outlook, or Zoom, we access only the data needed for the features you enable—such as free/busy availability, creating or updating events associated with 1-on-1s, and meeting link details. Third parties process data under their own privacy policies. You can disconnect integrations through your account settings where available.

The use and transfer of raw or derived user data received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

6. Cookies, Storage, and Authentication

The authenticated Service (app.winning1-on-1s.com) uses browser storage mechanisms, including cookies or similar technologies and local or session storage, to maintain sign-in sessions, remember preferences, and support security features. Authentication tokens issued through our identity provider are used to verify your access. We may retain short-lived technical data in logs for operations, diagnostics, and security monitoring.

On this marketing website (www.winning1-on-1s.com), we may use optional Google Analytics 4 measurement after you accept analytics cookies or similar technologies. Analytics is off by default. We do not use advertising or remarketing tags on this site. If you reject analytics, decline via Global Privacy Control, or your prior choice expires, measurement stays off. Your choice is stored in local browser storage on this marketing origin only and is not shared with the authenticated Service. You can change your choice at any time using Cookie preferences in the footer.

7. Data Security

We implement administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, misuse, or alteration. These include access controls, organization-scoped data isolation, and use of established cloud providers. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

8. Data Retention and Deletion

We retain information for as long as needed to provide the Service, fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce agreements. Retention may depend on your organization's subscription status and administrative actions. Organization administrators may have tools to export or manage organizational data where enabled in the product. Account or data deletion requests may be submitted using the contact information below.

9. Your Choices and Rights

Depending on your location and role, you may have rights to access, correct, delete, or restrict certain processing of your personal information. You can update much of your profile information in the Service. To exercise other rights, contact us using the details below. We may need to verify your identity and coordinate with your organization administrator where the data is controlled by your employer.

10. International Users

The Service may be accessed from multiple countries. Information may be processed in the United States and other locations where we or our service providers operate.

11. Children

The Service is intended for workplace use and is not directed to children under 16. We do not knowingly collect personal information from children.

12. Changes to This Policy

We may update this policy from time to time. We will post the revised policy on this page and update the “Last updated” date. Material changes may also be communicated through the Service or by email where appropriate.
